Frequently asked questions

What does Orinomics Limited do?

We provide outsourced payroll administration to UK employers. The agreed service can include input validation, gross-to-net calculation, payslips and payroll reports, PAYE and RTI submission support, pension and statutory pay processing, migration and year-end administration.

How do you make money?

From fees invoiced to employer clients. Three bases: a rate per payslip produced, a fixed monthly fee against an agreed frequency and headcount band, or a fixed project fee for migration and other one-off work. Our fee is never a percentage of payroll value, we take no commission from any third party, and nothing is ever charged to a worker.

Do you employ the people on our payroll?

No. You remain the employer throughout. We administer the payroll process you instruct us to run.

Are you an umbrella company or an employer of record?

No, and we do not operate as one under any arrangement. If you need an umbrella or employer of record arrangement, we are not the right provider.

Do you recruit or supply workers?

No. We are not an employment agency or employment business and we do not place, supply or recruit.

Do you hold our payroll funds?

No. We do not receive, hold or disburse payroll funds and we do not hold payment authority on any client account. We produce a payment schedule; you make the payments to employees, to HMRC and to your pension provider from your own account.

Do you pay HMRC on our behalf?

No. We report the liability figure to you each period. You pay HMRC directly by the statutory due date.

Who is responsible if the payroll is wrong?

It depends what went wrong. We are responsible for processing the data you approve accurately and in line with the agreed rules. You are responsible for the accuracy and completeness of the data you supply, the employment and tax treatment, and approval of each pay run. Where our processing is at fault we correct it at our cost and document what happened.

Do you decide employment status or IR35?

No. Status determination is yours. We process on the basis you confirm in writing.

Do you do our bookkeeping, VAT or accounts?

No. We provide payroll administration only. Bookkeeping, VAT returns, management accounts, statutory accounts and corporation tax sit with your accountant. We work alongside them and provide the payroll data they need.

Can you handle weekly payrolls?

Yes, including weekly, fortnightly and four-weekly cycles, and more than one frequency alongside a monthly salaried payroll. Weekly payrolls are invoiced monthly.

How do we send you payroll data?

Through the secure channel agreed at onboarding. We do not accept payroll data by unprotected email or through any channel not named in your agreement.

How do employees receive payslips?

By the method agreed with you: secure download, password-protected document, or printed and posted.

What happens if we miss the input cut-off?

We tell your named contact the same working day. Depending on how far the cut-off has been missed, the run may still be achievable on a compressed timetable, or the pay date may be at risk. We will tell you which, immediately, rather than absorbing it silently.

Can we move to you mid-tax-year?

Yes. Mid-year migrations are routine and the year-to-date reconciliation in the migration project exists to handle them. We will be honest about whether your preferred go-live date is realistic given the state of the data we receive.

How long does it take to get set up?

It depends entirely on the quality of the data from your current provider or system. We give you a realistic date after the data review and gap report, not before.

Is there a minimum contract term?

No, beyond the notice period in your agreement. There is no exit fee, and we return your payroll data at no charge when an engagement ends.

How is our data protected?

You are the data controller and we act as processor on your documented instructions, under a written data processing agreement. Access is least-privilege, transfer is through the agreed secure channel, and data is returned or deleted at the end of the engagement. Full detail is on our compliance page.
